Meeting Room Policies


HOLBROOK PUBLIC LIBRARY

CONDITIONS FOR THE USE OF THE LIBRARY MEETING ROOM


The Holbrook Public Library Meeting Room facility may be used by Holbrook civic groups, Town departments and committees, and educational and cultural groups with the approval of the Library Trustees or Library Director. Applications for Meeting Room use may be obtained from the Circulation desk and must be signed by an adult. Seating capacity for the room is limited to 100. Library programs are to be given priority in reserving this room. The organization using the room is to assume full responsibility for the supervision and condition of the Meeting Room facilities, and the activity must not interfere with library use.

All meetings shall be open to the general public.

The Holbrook Public Library Meeting Room is not to be used for any non-library purpose for more than 3 hours unless previous approval has been granted. It is to be left in the clean, presentable condition in which it was found.

Use of the Meeting Room will be during the regular library hours unless approval is obtained from the Library Direcctor and/or the Board of Library Trustees.

No fee is charged for the use of the Meeting Room.

If the meeting calls for the rearrangement of furniture, notification to this effect should be given to the library at least three days in advance. Nothing may be attached to the walls of the library.

If special accommodations are required, notification to this effect should be given to the library at least one week in advance.

Kitchen facilities may be used for light refreshments. Any group having refreshments must provide their own dishes, utensils, linens, etc.. The Meeting Room is not available for serving full meals of any kind. No alcoholic beverages are to be served. The kitchen, if used, must be left in the condition in which it was found.

No admission fee may be charged.

No smoking shall be permitted.

No organization may advertise a particular event as taking place at the library until the organization's application for use of the room has been approved by the Library Director or the Board of Library Trustees.

The Board of Library Trustees reserves the right to refuse the use of the Meeting Room facilities to any organization abusing the regulations as set forth above.

The regulations are subject to change.
